2021 Pitt Holiday and Winter Recess Details

Upcoming Holiday Calendar

The University of Pittsburgh has several holiday or recess days through early January 2022. Pitt will be closed during most of this time.

Most Pediatrics offices and departmental units staffed by Pitt employees will be closed during these times. Some offices may operate on a reduced schedule or open sporadically during the break periods depending on operational need.

Chair's Office Holiday Schedule

The Chair's Office will operate on a special schedule during the break periods.  Pediatrics personnel requiring assistance from a Chair's Office staff member should make arrangements prior to the holiday breaks to ensure a prompt response.

Thanksgiving Break

The Chair's Office will be closed from 1:00 p.m. November 24, 2021 through Thursday, November 25, 2021.  

On Friday, November 26, 2021, the physical office will be closed, but select staff will be available remotely.  Please contact Dominique White directly if you need assistance during this time.

Winter Holiday

The Chair's Office will close at 2:00 p.m. December 23, 2021 and remain closed through Sunday, December 26, 2021.

Following the Christmas Day holiday, the office will open remotely with limited staffing on the following days.  Please contact one of the following Chair's Office staff members directly with any urgent questions:

The office will close December 31, 2021 and reopen Monday, January 3, 2022.  However, some Chair's Office staff may not return until Tuesday, January 4, 2022.

Grants, Contracts, and Lab Supply Orders

  • Grants due the first week of January must be submitted before December 10, 2021.
  • It is highly recommended that each laboratory pre-plan for supplies and other business needs prior to holiday and recess periods.
  • The Office of Sponsored Programs will be closed. No grants will be submitted during this time.

Payment and Compensatory Guidelines for Staff Working on Holiday or Recess Days

Non-exempt Staff

Non-exempt staff should only be working during this time if it is absolutely needed for coverage and supervisors/faculty have given prior approval.

The policy for non-exempt staff working either the recess or holidays is outlined below:

  • Regular full-time, non-exempt employees who work on an established University paid holiday must be paid either their straight hourly rate plus an additional 1 1/2 times their regular hourly rate (for a total of 2 1/2 times their regular hourly rate) or granted the equivalent in compensatory time, at the discretion of the department administrator.
  • Regular full-time, non-exempt employees who work during the winter recess (excluding established University paid holidays) must be paid their straight hourly rate plus an additional one times their straight hourly rate (for a total of 2 times their regular hourly rate) or granted the equivalent in compensatory time, at the discretion of the department administrator.

Exempt Staff

If you have exempt staff working either the recess or holidays, they should be given equal time off at a later date.

Timecards

If an exempt staff member works on a recess day or a holiday, they may coordinate with their supervisor to take this time off at a later date. When they take the time off at a later date, they may select E-Approved Absence and add a note in the comments section explaining why the absence is being taken.

Non-exempt employees must enter timecards to reflect recess days and holidays.
